Terms & Conditions

PLEASE READ CAREFULLY

The purchase of any travel services offered by Cultural Explorations, Inc., constitutes a contractual arrangement between you (the Traveler) and Cultural Explorations, and represents your acceptance of the Cultural Explorations Terms & Conditions set out herein. Please ensure that you read carefully and understand these Terms & Conditions prior to booking. The following Terms and Conditions apply to all Cultural Explorations programs.

Rates

Published program rates are based on double occupancy, during non-peak season and include hotel stay during program dates; visa; departure taxes; land transportation in Cuba as listed in program; cultural activities as listed in the program and meals as outlined in elected program. Round-trip airfare (provided except when specified otherwise) to and from Cuba via Miami International Airport (or other airport as may be outlined in program), through our exclusive airline partner.
A single supplement rate of up to $550 will be imposed for single travelers.
Published rates are based on a select number of guests and rates are only guaranteed if number of travelers is met. Published rates and inclusions are subject to change without notice.

Reservation & Payments

The TRAVELER has agreed to pay the applicable PROGRAM rate in consideration of Cultural Explorations Cuba providing the opportunity for the TRAVELER to participate in the Cultural Explorations Cuba’ “People to People Cultural Explorations Program,” inclusive of accommodations and other services for the TRAVELER, as set forth below. A non-refundable, non-transferable deposit of $400.00 per person is due at the time of Reservation. Final payment is due 75 days prior to the travel dates. If full payment is not received on or before the due date, the TRAVELER’s program reservation may be cancelled. If trip date is less than 75 days, full payment is required at the time of Reservation.

Cancellation & Refunds

Cultural Explorations Cuba reserves the right, at its sole discretion, to reject an individual at any time prior to departure, or to cancel the elected PROGRAM in which a TRAVELER is scheduled to participate. In the unlikely event of such a cancellation or if a TRAVELER has been rejected, the total amount paid to Cultural Explorations Cuba (less airfare and service charges) will be refunded. If, however, the cancellation is due to non-payment of the PROGRAM fees by the due date or is due to governmental action beyond Cultural Explorations Cuba’ control, the amount refunded will be reduced to the extent Cultural Explorations Cuba has incurred expenses in the formulation process of said program. Other than such a refund, Cultural Explorations Cuba will not be responsible to a TRAVELER for any other refund, costs, interest, liability or damages of any kind.
If TRAVELER cancels for any reason, he/she must notify Cultural Explorations Cuba in writing via U.S. Postal certified mail or some other certified means (e.g., UPS, FedEx, etc.) The cancellation will be effective upon Cultural Explorations Cuba receipt of the written notification at its office in Delray Beach, FL. Cultural Explorations Cuba incurs substantial administrative and planning costs prior to the departure of the TRAVELER. Therefore, if TRAVELER cancels his/ her trip, funds paid by TRAVELER to Cultural Explorations Cuba may be refunded only as set forth below.

The $400 deposit is non-refundable, non-transferrable. TRAVELER may apply this deposit to another Cultural Explorations Cuba’ People to People Cultural Exchange Program, provided it is scheduled to depart within 365 days of the original scheduled commencement date, subject to space availability.

Cancellation Policy

• Sixty-one (61) days or more prior to the scheduled start date, the fees paid, not including the deposit and any applicable airline cancellation penalties, will be refunded;
• Sixty (60) to 45 days prior to the scheduled start date, 50% of the fees will be retained, and the balance, not including the deposit and any applicable airline cancelation penalties, will be refunded;
• Forty-four (44) to 31 days prior to the scheduled start date, 75% of the fees will be retained, and the balance, not including the deposit and any applicable airline cancelation penalties, will be refunded;
• Thirty (30) or fewer days prior to the scheduled start date, none of the fees will be refunded.

If TRAVELER cancels his/her program and elects to have fees refunded, the TRAVELER will forfeit the future use of his/her deposit.

No refunds will be given for unused portions of the PROGRAM for any reason. Flight package fees are non-transferable.

The TRAVELER is solely responsible for transportation costs to the start location in Miami or other designated gateway city. The TRAVELER is also solely responsible for any airfare or other travel rates, charges, expenses or penalties that might result from any cancellation of or change in the TRAVELER’s PROGRAM, whether the TRAVELER cancels the PROGRAM or it is cancelled or altered by Cultural Explorations Cuba.

For this reason, Cultural Explorations Cuba STRONGLY URGES THE TRAVELER TO SECURE TRIP CANCELLATION INSURANCE, Travel insurance is NOT part of the program fees and can be added to your program.

The TRAVELER must ensure he/she clearly understands the cancellation policy herein. If it is not clear, the TRAVELER should ask for clarification. Cultural Explorations Cuba cannot make exceptions to this cancellation policy for any reason, including medical emergencies.

Please note: Medical insurance in Cuba is included in the program fees and can only be used in case of an illness in Cuba.

Changes to Reservation

Changes to the type of PROGRAM or commencement date by the TRAVELER will be considered a request for cancellation and are subject to the Cancellation and Refund policy found herein. In addition, changes made by the TRAVELER are subject to additional airline and/or hotel fees, if the original rates are no longer applicable for the revised travel dates. Revisions to airline tickets are subject to the airline fare rules, change rates, and cancellation policies. Airfare fees may vary, depending on the day of travel, gateway city, routing, and airline class of services booked, which is determined by seat availability.

Charter Flight Arrangements to Cuba

Direct flights to Cuba from the U.S. are operated by Havana Air, an OFAC-authorized Carrier Service Provider (Charter Company) and are arranged by an OFAC- authorized Travel Service Provider (TSP). Charter flight times are authorized on a monthly basis by the U.S. Department of Transportation, the Cuban Government, and the Office of Foreign Assets Control. Cultural Explorations Cuba strongly recommends that TRAVELER S wait until flight times are confirmed and communicated prior to making domestic flight arrangements. Cultural Explorations Cuba is not responsible for any missed, delayed or cancelled flights.

The first 44-lbs are pre-paid (combined carry-on and checked luggage), then $2.00 per pound, thereafter. There is a 20 pound maximum for each carry-on bag included in the 44 lbs.

Passports & Cuban Visas

Each TRAVELER is required to have a passport valid for six months after the return date of their scheduled trip. TRAVELERS holding a passport from a foreign country; green card, U.S. visa, or special-use passport are solely responsible for understanding the limitations imposed on their passport, green card, U.S. visa, or special-use passport regarding re-entry back into the United States. Cultural Explorations Cuba cannot be held liable for a TRAVELER who is refused service by the Carrier Service Provider or entry into Cuba because of a restricted U.S. visa or Passport or denial of a visa by the Cuban government. In the event the TRAVELER is refused entry to Cuba because of Visa or Passport issues or denial of a visa by the Cuban government, applicable cancellation penalties may apply.

The TRAVELER is responsible for having on his or her person, proper documentation to enter Cuba as well as to re-enter the United States, and proper documentation to travel via a third country (if applicable) to Cuba. Your trip will include a Cuban visa for your travel, issued through the Cuban government and delivered at time of departure. The Cuban Government retains the right to grant or deny visas.

Cuba Born Travelers

The TRAVELER acknowledges that the Cuban Government imposes different requirements for Cuban-born persons traveling to Cuba than others, and that such a person obtaining a Cuban visa, if needed, can take a minimum of eight (8) to 12 weeks. Cultural Explorations Cuba suggests that all Cuban-born persons wishing to participate in the Program contact Cultural Explorations Cuba. Cultural Explorations Cuba is not responsible for any information it provides to TRAVELERS in this regard, or for any delay or denial in the issuance of a Cuban visa, if required.

Changes to Program

We endeavor to operate the PROGRAM as outlined herein. However, circumstances beyond our control may require an adjustment to the PROGRAM or its inclusions. We strive to avoid such changes, but reserve the right to make such modifications. If a TRAVELER cancels his or her trip because of a PROGRAM change, normal cancellation penalties will apply.

We reserve the right to substitute hotels, if necessary.

Travelers Requiring Special Assistance

TRAVELERS requiring special attention due to a disability must report such condition at the time of making the reservation for elected PROGRAM. CULTURAL EXPLORATIONS CUBA will make reasonable attempts to accommodate the special needs of such TRAVELER, but cannot guarantee accommodations will be provided, and is not responsible for any denial of services by Havana Air, Cuban carriers, hotels, and other independent suppliers. Regrettably, Cultural Explorations Cuba cannot provide individual assistance to a TRAVELER for walking, dining, boarding and disembarking motor coaches, and other transportation vehicles, or assist with other personal needs. TRAVELERS who need such assistance must be accompanied by a qualified companion who is also a TRAVELER in the PROGRAM.

Age Policy

Due to the educational and cultural nature of our people-to-people exchange programs, TRAVELERs on all Cultural Explorations Cuba programs should be at least 12 years-old. Exceptions may be made on a case-by-case basis.

Indemnification

You agree to indemnify, defend and hold us and our partners, attorneys, staff and affiliates harmless from any liability, loss, claim and expense including reasonable attorneys’ fees, related to your violation of these Terms and Conditions or use of this Site.
